Performance Reporting is the last Project Communication Management process. It involves periodic collection and analysis of baseline vs. actual data to understand and communicate the project progress and performance as well as to forecast the project results.
Now, does it sound similar to Information Distribution? It does.
But it’s different than Information distribution in the sense that Information Distribution is about sharing the project status report as and when desired by the stakeholders, where as Performance reporting is about analyzing the project data, reporting on planned vs. actual as well as making forecast about the future.
Let’s look at the kind of reports prepared as part of performance reporting. Few such reports are:
Project Performance reports with respect to cost, schedule, scope and quality.
Trend reports on whether the project performance is improving or deteriorating
Earned Value reports
Forecasting reports on future project status and performance.
Let’s look at the inputs of this process. We will have already discussed all these documents listed as input to this process.
The tools and techniques are also quiet obvious. Just be aware of their names. You will not be ever asked in PMP exam about what are the different variance analysis methods used for variance analysis. You should just know that variance analysis is a technique used in analyzing planned vs. actual analysis in performance reporting.
Similarly, there are techniques used for forecasting the future project performance. Many organizations do use sophisticated software for such analysis, but in smaller project basic mathematical principles and common sense techniques can be used to create such reports.
This process results in Performance reports as output. In addition to that, change requests are also a very likely output. Why? Because, stakeholders may ask for some changes based on performance reports.

The Project Charter and the Preliminary Scope Statement are inputs to the Planning Process Group.
Now, let’s look at the Specific Actions that are done during the Planning Process group.
Based on the Preliminary Scope Statement, the project requirements are refined to make it more specific.
Next, The Project deliverables are identified and also the work required to complete those deliverables. The work is also breakdown into smaller manageable pieces.
The Project Manager also works on getting the approval on the Project Scope by the stakeholders. Once the Project Scope is approved, next the Project Schedule and the Cost are planned.
Post this; The Quality standard of the Project is determined.
Next, the detailed Roles and Responsibilities of the Project team members are identified. After that, Risk Identification, Risk Analysis and Risk Response Planning are done. If the Project requires, any third party purchases that also is identified.
